Zoom Tips
Here's a quick guide to Zoom, the video conferencing platform which we're using for many of our digital events.
Downloading Zoom
- On a Windows or Mac computer, go to https://zoom.us/download, click “Download” in the “Zoom Client for Meetings” section. This will download a file to your regular Downloads folder, double-click it to install Zoom.
- On an Android phone or Tablet, go to the Google Play Store and search for “Zoom Cloud Meetings.” Tap “Install.”
- On an iPhone or iPad, go to the Apple App Store and search for “ZOOM Cloud Meetings.” Tap “Get” to download and install the Zoom app.
If you'd prefer not to install the app, you can also join via your browser:
- When you are ready to join the meeting click ‘Launch Meeting’ until a link appears reading ‘Join from Your Browser’.
- You will be prompted to enter your name and tick the box ‘I’m not a robot’, and then ‘Join’
Joining a call:
- Click on the meeting link (this should be on your ticket pdf, and will also be emailed to you in advance - check your spam if you have not received it). The link will look something like this: https://us02web.zoom.us/j/10101010
- On a Windows or Mac computer, your browser will open, click ‘Launch Meeting’ and then click ‘Open’ in the popup above to join the meeting.
- On an iPhone, iPad, or Android device, the Zoom app should open automatically.
OR
If the link does not work, open Zoom and click ‘Join a Meeting’. Here you can enter the Meeting ID and Passcode sent alongside the link. - If the host has not yet started the call you will be greeted with ‘Please wait for the host to start the meeting’ - you will be then prompted to enter your name.
- The host will need to admit you into the call, until then you will see ‘Please wait, the meeting host will let you in soon’.
- When admitted you will be prompted to ‘Join with [Computer] Audio’. You also now have the opportunity to test your speaker and microphone.
- You may need to allow Zoom to use your camera and microphone, click/tap ‘Allow’ to enable this if a pop-up appears shortly after joining the call.
During a session, the housekeeping rules will be outlined at the start of the session. These include:
- Raising your hand (virtually) if you wish to speak.
- Asking questions in the chat window.
- When the host starts a poll the questions will automatically appear for you to answer, just click/tap your answer and then ‘Submit’
- At times the host may split participants into smaller groups called ‘Breakout Rooms’, these are fully controlled by the host and you do not need to do anything.
Ending a call:
- You can leave the call at any time by clicking ‘Leave’ in the bottom right of your screen and then ‘Leave Meeting’.
- Don’t worry if you leave by accident – you can also re-join at any time the same way you joined the call at the start, either through the link or by entering the Meeting ID and Passcode.
- If you wish to take a break but remain on the call, you are welcome to mute yourself and turn off your camera at any time and then turn it back on when you are ready to resume.
